Administrative Assistant
Supervisor: Executive Director
Part-Time Position (20-25 hours/week Mon-Fri)

Job Purpose: Provide assistance to the Executive Director (ED) of Show and Tell which serves families of children with disabilities in the Denver metro area. You will manage mostly business-related tasks for the ED such as creating reports, basic bookkeeping tasks, communicating with vendors, taking minutes, managing the center and other organizational tasks. To do this role properly you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past.
Pay Rate: $21.00 per hour
Essential Job Responsibilities
• Answering phones, routing calls to the correct person, and taking messages.
• Preparing financial statements, reports, memos, invoices, letters and other documents.
• Handling basic bookkeeping tasks.
• Filing and retrieving corporate records, documents, and reports.
• Preparing documents for review and presentation to boards of directors, committees, and executives.
• Helping prepare for meetings and workshops
• Accurately recording minutes from meetings.
• Using various software, including word processing, spreadsheets, databases, and presentation software.
• Performing office duties that include ordering supplies.
• Providing general administrative, clerical support.
• Maintaining accurate records; inputting information into database.
• Maintaining current information on the organization’s website.
• Ensures that materials are filed properly and easily locatable to staff.
• Establishing and maintaining relationships with community agencies and organizations.
• Locating and participating in community events, fairs, festivals, etc.
• Maintains confidentiality of information.
• Performs other duties as assigned.
Organizational Relationships
Reports directly to the Executive Director.
Supervisory Responsibility
May have supervisory responsibility of interns and volunteers.
Education or Formal Training
• High School Graduate or equivalent required
• One-year related experience
Required Skills and Knowledge
• Strong commitment to work in a team environment
• Strong willingness to take initiative
• Strong communication, organizational, leadership, and management skills
• Strong written communication skills
• Strong customer service skills including listening skills
• Proficiency with databases, Word and Excel
• Experience with photocopiers and other office equipment
Other Requirements
• Ability to work some evenings and some Saturdays for trainings and fairs during various times of the year
• Must follow proper safety procedures when performing physical job tasks
• Must have reliable transportation
Preferred but Not Required
• Bilingual
• Experience with Social Media and Online Content Coordination
